Our Benelux subsidiary, based in Anderlecht, is responsible for managing the sales of the Octapharma portfolio across Belgium, Luxembourg, and The Netherlands. We’re now looking for a motivated and dynamic individual to join our Administration team. In this small, agile team of just 5 people, you’ll work closely with all departments, contributing directly to the seamless operation of our organization.

What will you be doing as Office & HR Administrator?

As Office & HR Administrator, you are at the heart of the organization, providing comprehensive administrative and organizational support. You will collaborate closely with several departments to ensure smooth operations.

 

Here are some key responsibilities:

  • Office Administration: 
    • Perform all-round administrative tasks and be the welcoming face at the front desk for visitors, customers, and suppliers
    • Keep communication flowing — manage emails, phone calls, and general correspondence
    • Take care of office supplies: ordering, restocking, and keeping things organized
    • Schedule and coordinate meetings, manage calendars, and book meeting rooms
    • Ensure proper document handling and filing — both digital and physical — ensuring documents are properly filed and easily accessible for authorized personnel.
  • HR Administration: 
    • You will be in charge of managing payroll and overseeing the onboarding process for new employees.
    • Accompany and follow up on insurance files and other HR-related tasks.
  • IT: 
    • Manage local office material and IT equipment together with the corporate department
  • Marketing support: 
    • Assist in the creation, translations, organization, and distribution of marketing materials.
  • Customer Service support: 
    • Assist the customer service team with the input into the ERP/CRM tool.

 

 

Who are you?

  • Experience is a plus, but not a must
  • A strong administrative profile — experience in HR is welcome, but administrative accuracy and structure are key
  • Proficiency in Dutch, French, and English is preferred. 
  • Comfortable working in a trilingual (Dutch – French - English) office environment
  • Proficient in MS Office 365
  • Effective team player in a small team environment
  • Proactive mindset with a strong desire to learn and adapt quickly
  • Eager to take on new challenges, and forward-thinking
  • Highly trustworthy with excellent communication skills, enjoying administrative work in a dual-role position
